How automated outreach works

Automated outreach emails one contact at a time. It cycles through your first, second, and third attempts to the first contact in line, waiting the specified number of days before each follow-up. If you don't receive a reply once the sequence is complete, it moves on to the next contact and repeats the same process.

The number of days between attempts is set when creating your templates on the Templates & Email Sequence screen. Follow-ups are sent according to these days and your outreach schedule.

If an opportunity responds to your email and you want to continue outreach to the next contact, you'll need to wait the set number of days between follow-up attempts before it sends.

Changing the order of contacts

Contacts are emailed in the order they're arranged in the Personalize stage of the Workflow. Contacts at the top of the list take priority.

To change the order later:

1. Go to the Opportunity Details page.
2. Scroll to the Contact Info box.
3. Hover over a contact until you see a grid of dots.
4. Use this handle to drag the contact into a new position.

Starting automated follow-ups

You can start the auto follow-up sequence from the Compose stage of the Workflow in two ways:

• Preview & Send: Select Preview & Send, then check the box labelled Auto Follow-Up Sequence next to the Send button while previewing the email. This lets you check all of your emails before sending.

• Launch Automation Sequence: Click Launch Automation Sequence. This starts sending your emails based on the templates and email sequence selected for the campaign, and marks all follow-ups as automated. You won't preview any emails with this option.

Automated vs. manual follow-ups

How your follow-up emails are sent depends on whether you started the auto follow-up sequence or sent the initial outreach email manually. For more detail, see Manual vs. Automated Outreach.

• Automated: Your follow-up attempts are sent automatically, according to the days between attempts and your outreach schedule.
• Manual: If you haven't received a reply, your next attempt will appear in the Compose stage once the set number of days between follow-ups has passed.

Sending a follow-up early

If you'd rather not wait for the next email in the sequence:

1. Go to the Opportunity Details page for the opportunity.
2. Find the contact and click their email address.
3. Click Send New Email.
