Email Rotation: How It Works, Setup, and Best Practices

Email rotation is a method of sending mass outreach through several different email accounts to improve your email deliverability. Simply put, your outreach is sent from multiple email addresses within one campaign, rather than just one. 🔄

Sending this way lets your email accounts share the sending load evenly. This helps preserve the reputation of your sending domains and keeps your messages consistently reaching recipients' inboxes. By using different sender addresses and content variations, email rotation can also lead to higher open rates, better engagement, and more effective campaigns overall. 📧

Pitchbox lets you rotate between email accounts in all of your campaigns, and setting it up is straightforward.

🔄 Setting Up Rotation

To set up email rotation, you'll need more than one email account with access to the project you're working in. Once your accounts have access, you can select multiple email addresses from the dropdown when creating your campaign templates.

Remember to add an email signature for each email account in the rotation.

📋 Email Rotation Rules

When sending outreach, Pitchbox rotates between each of the selected accounts and distributes your sending evenly. You can see which email account sent outreach to a particular opportunity from the Sent box.

The email account that sends the first email to a site will also send all follow-up attempts in that sequence, with two exceptions:

  • If that email account is removed from the project, the next email account in the rotation will send the follow-ups.
  • If that email account is temporarily disconnected, follow-ups to that site will be paused until it reconnects. In the meantime, Pitchbox moves on to the next email in the queue, sent from the next account in the rotation.

⚠️ Daily Limit

Pitchbox has three separate Daily Limits: one for each email account, and one for each campaign. They work independently of each other.

Email account Daily Limit

Each email account has its own Daily Limit. This caps how many emails that account can send in a day, across every campaign it's used in.

Campaign Daily Limit

A Campaign's Daily Limit  stays the same no matter how many email accounts are in the rotation. For example, if you set your campaign's daily limit to 100, Pitchbox will send 100 emails in total, spread evenly across all the accounts in the rotation. Adding more accounts doesn't raise the campaign's total; it spreads the same volume across more inboxes.

You can set your Campaign Daily Limit in the Outreach Schedule settings.
