Unsubscribing Contacts and Managing Your Do Not Email List
Pitchbox keeps a record of every contact who shouldn't receive your outreach. This record is called the Do Not Email list. Contacts are added to it automatically when they reply asking to unsubscribe, and you can also add them yourself. This article covers how contacts end up on the list, how to unsubscribe a contact manually, and how admins manage the list and the account's opt-out settings.
Automatic unsubscribes
When a contact replies with the word "Unsubscribe" in the subject line, Pitchbox automatically adds them to the Do Not Email list. The contact shows the reason "Unsubscribed," and no more emails are sent to them. This action cannot be reversed.
Unsubscribe Request Rules
Unsubscribe Request Rules are set separately for each email account. Only the user or admin who connected that email account can change them. To find them, open your Email Account settings and go to Security.

When to unsubscribe a contact manually
Sometimes a contact asks to be removed from your outreach without using the word "unsubscribe." In that case, mark them as unsubscribed yourself so they don't get any more emails. Pitchbox gives you three ways to do this.
Option 1: Add the contact to the Do Not Email list
- Click Settings in the top-right corner of your screen.
- Select Do Not Email from the menu on the left.
- Select + To the Do Not Email List.
- Enter the contact's email address.
- Choose whether to unsubscribe them from All Projects or from Specific Projects.

Option 2: Unsubscribe from the Address Book
- Use the search bar at the top of your screen to find the contact or opportunity.
- In the Address Book, hover over the contact and select Mark as unsubscribed.

Option 3: Unsubscribe from any contact list
Many places in Pitchbox show a list of contacts, including Opportunity Details, the Campaign Workflow, the CRM, and the Address Book. From any of them:
- Find the contact in the list.
- Click the unsubscribe icon next to their email address.
The contact is added to the Do Not Email list, and their entry turns red to show they are blocked from receiving any further emails.

What happens after a contact is unsubscribed
- Outreach stops. The contact no longer receives emails from your campaigns, either in the projects you selected or across the whole account.
- The status is saved. Pitchbox stores their unsubscribe status, so they can't be emailed again by accident.
- History stays visible. You can still open the prospect's profile and see your past emails with them.
Managing your Do Not Email list
Admins can open the Do Not Email list from the account settings. It shows every email address and domain that has been unsubscribed, and each entry has a record you can view with more details.
Admins can also add email addresses or whole domains to the list directly. Each addition can apply to All Projects or to Specific Projects.

Forcing an opt-out footer across the account
At the bottom of the Do Not Email list, admins can turn on an opt-out footer for every campaign in the account. Once it's on, users can't uncheck the opt-out option when they set up campaign templates.
This setting changes both your current templates and any you create later. Before turning it on, read the tooltip next to the setting, which explains exactly what changes.
