Dynamic Delay: Setting a Custom Wait Between Each Outreach Attempt
Each follow-up attempt in a campaign has its own delay: the number of days Pitchbox waits after the previous attempt before sending the next one.
This lets you space your follow-ups to suit your outreach needs. For example, you might follow up 3 days after your first email, then 7 days later, then 14 days after that.
A campaign can have up to 10 outreach attempts, and each delay can be anywhere from 1 to 30 days.
How Delays Work
The delay sits in the gap between two template cards on the Templates screen. It sets how long to wait after the attempt above it before sending the attempt below it.
Each card also shows a Day number: the day that attempt goes out, counting your first email as Day 1. Pitchbox works this out for you by adding up the delays above it.
Here is an example campaign with three attempts:
| Attempt | Delay set in the gap above | Sent on |
|---|---|---|
| Attempt 1 | — | Day 1 |
| Attempt 2 | 3 days | Day 4 |
| Attempt 3 | 7 days | Day 11 |
How to Set It Up
To change a delay:
- Open your campaign and go to Settings → Templates.
- Find the gap between the two attempts you want to space out.
- Pick the number of days (1 to 30) from the delay select in that gap.
- The change saves on its own. The Day numbers on the cards below update straight away.
Only the gap you changed is affected. Every other delay stays as it was.
To add another attempt:
- On the same screen, click + Add Attempt below your last card.
- Write the template for the new attempt.
- Set the delay in the new gap above it.
You can keep adding attempts until the campaign has 10. After that, the + Add Attempt button is no longer available.
Good to Know
- Prospects already in the campaign follow your updated delays. When you change a delay, Pitchbox recalculates the next send date for everyone still waiting on a follow-up.
- Moving to a new contact uses the first delay. If the next email goes to a different contact at the same prospect, Pitchbox waits the delay set after Attempt 1.
- Bounced emails don't wait. If an email bounces, the next email is due right away instead of waiting for the delay.
- Replies still stop the sequence. Once a prospect replies or is stopped, no more follow-ups are sent, whatever the delays say.
FAQ
Why can't I set a delay on my last attempt? The delay is the wait before the next attempt. Your last attempt has nothing after it, so there's nothing to wait for. Add another attempt and a delay select appears in the new gap.
Can I set a delay on a template in my template library? No. Delays only apply to templates inside a campaign, because that's where the sending order lives.
What's the longest delay I can set? 30 days between any two attempts. The shortest is 1 day.
I only see one delay setting and can't add more than 3 attempts. Why? Per-attempt delays may not be enabled on your account yet. Contact our support team and we'll help.
