Email Sending Limits: Why They Exist and How to Get the Most from Pitchbox

Pitchbox gives you full control over how much outreach you send each day. 📈

This guide explains the three layers of sending limits, why they keep your email accounts safe and your emails landing in inboxes, and how to use more mailboxes and campaigns to send more outreach than ever. 🚀

🛡️ Why We Use Daily Sending Limits

Daily limits are in place to protect your email accounts and ensure deliverability. Email providers such as Google and Microsoft watch how many messages each mailbox sends. A sudden spike in volume looks like spam, which can lead to:

  • Emails landing in spam folders instead of inboxes
  • Damage to your sender reputation that takes weeks to recover
  • Temporary sending blocks or suspension of the mailbox

By capping how much each campaign and each mailbox sends per day, Pitchbox keeps your outreach at a steady, natural pace. That means more of your emails reach the people you're pitching, and your mailboxes stay healthy for future campaigns.

📊 Plan Outreach Limit

Your plan determines how many emails you can send in total. To check your outreach limit and current usage, go to your Billing & Plans page.

📅 Campaign Daily Limit

You control how much each campaign sends in its Outreach Schedule settings. Each campaign's Daily Limit is capped at 150 emails per day, and you can lower it to fit your preferred schedule.

Because the cap applies per campaign, running several campaigns at once lets you send more in total each day (see How to Maximise Your Sending in Pitchbox below).

📧 Email (Mailbox) Daily Limit

The Email Daily Limit controls how many emails a single mailbox can send in a 24-hour period. It supports safer sending, better deliverability and a stronger inbox reputation.

The limit applies globally: every campaign using that mailbox shares the same daily cap, no matter how many campaigns it's attached to.

How it works

  • Each mailbox has one master daily sending limit.
  • All campaigns using that mailbox share this limit.
  • Once the limit is reached, sending from that mailbox pauses until the next 24-hour cycle.
  • The limit resets every 24 hours based on the time zone you select.

How to set Email Daily Limits

  1. Go to Settings.
  2. Select Email Accounts.
  3. Open the Spam Prevention tab.
  4. Hover over the relevant email account.
  5. Click the three dots (⋯).
  6. Select Set Daily Limits.
  7. Enter your desired daily sending limit.
  8. Choose the time zone for the 24-hour reset cycle.
  9. Save your settings.

Time zone and reset behaviour

The time zone you choose defines the 24-hour period used to track sends. After 24 hours in that time zone, the limit resets automatically, keeping your sending windows consistent with your chosen region.

Where to monitor usage

  • Deliverability Center: shows the percentage of each mailbox's daily allowance used, in real time.
  • Campaign View: shows the sending status and remaining allowance for each connected email.

🚀 How to Maximise Your Sending in Pitchbox

You don't need to push one mailbox harder to send more. Instead, spread your outreach across more mailboxes and more campaigns, so each one stays within a safe limit while your total volume grows.

Add more emails to your Email Rotation

Each mailbox has its own daily limit, so adding more mailboxes to a campaign's email rotation increases how many emails that campaign can send each day. For example, if each mailbox is limited to 40 emails a day, a campaign rotating through three mailboxes can send up to 120.

Multiple mailboxes also keep your outreach running. If one email account disconnects, the campaign continues sending from the other mailboxes in the rotation, so your outreach doesn't stop while you reconnect it.

Run multiple campaigns

Each campaign has its own daily limit of up to 150 emails. Running several campaigns at the same time lets you send more outreach overall, for example by splitting prospects by topic, client or target site.

Remember that mailbox limits are shared across campaigns. If you add more campaigns, make sure you also have enough mailboxes in rotation to cover the extra volume, otherwise the mailbox limit will be reached first.

💡 Best Practice

To maintain strong deliverability:

  • Gradually increase sending volume for new inboxes.
  • Spread sending across multiple inboxes rather than overloading one.
  • Use multiple campaigns to increase total volume while keeping each campaign's pace steady.
  • Check your daily limits regularly to avoid interruptions in outreach.

❓ Common Questions

Why has my campaign stopped sending for today?

One of the daily limits has been reached. Either the campaign hit its Daily Limit, or a mailbox in its email rotation hit its Email Daily Limit, which is shared across every campaign using that mailbox. Sending resumes automatically when the limit resets. If your plan's outreach limit has been reached, check your Billing & Plans page.

Does adding a mailbox to more campaigns give it more sends?

No. A mailbox's daily limit is shared across all the campaigns it's attached to. To send more, add more mailboxes to your rotation instead.

What happens if one of my email accounts disconnects?

If the campaign has other mailboxes in its email rotation, it keeps sending from those while you reconnect the account. A campaign with only one mailbox will stop sending until it's reconnected.
